Gmail Does What Other email Can’t Do

The Gmail in Google Apps is the same Gmail Google uses for general use.  Here are some tips and tricks to leverage Google’s Gmail and do things you can’t do with other email programs.

1)      Use it to filter spam for all your email accounts.  Simply have Gmail pull email from all your other email servers.  Google will use the latest spam information it has to move email to your spam folder.  Gmail automatically moves 1000’s of emails every week into my spam folder, I don’t even bother to check it anymore.

2)       Use shortcut keys to move around Gmail.  They take some time to figure out and get used to, but once you do, you’ll miss the shortcuts in other email clients.  [shift]+? Is the first short cut you should learn, it’s the pop-over help window.

3)      Email grouped in conversations instead of sequential order.  Again takes some getting used to, but if the subject is the same, Gmail puts the messages together as a conversation.

4)      Using filters, you can label, color, tag or move email.

5)      Gmail uses tags… and now folders, you decide which is better to keep your email organized.

6)      Labs for all kinks of little features and tweaks that the team is always creating

7)      Open attachments using Google Docs or view PDF’s write in mail without having download

OK so the rest of these aren’t necessarily unique to Gmail, but I think they are very useful:

a)      Sync with just about anything

b)      View tasks on both email and calendar view

c)       Change the appearance based on easy to use themes

d)       Buzz, Google move into more social media.  Look out twitter and facebook

You will need to put up with advertisements if you are using the free version of Google Apps.  If you upgrade to the paid version, the ads disappear.
